We are a small, family-owned farm with an onsite restaurant and event company. Our farm spans approximately 100 acres across [Location 1] and [Location 2], where we grow a wide variety of specialty organic produce. Our business began with selling produce wholesale to restaurants and at farmer's markets in the Hudson Valley, New York City, and the surrounding areas. In recent years, we have expanded our offerings to include a full-service onsite restaurant and catering for events hosted at the farm. Our event season, primarily for weddings, runs from May until early November, with booking and planning taking place year-round.
We center our food and beverage program around the produce we grow on our properties and strive to source any additional items from the highest quality farmers and purveyors.
**Job Description**
We are seeking an Assistant Event Coordinator to join our growing team. This role is a support position where you will directly assist the Director of Events and Senior Event Manager on a day-to-day basis. This is a full-time hourly position with the potential to transition to a full-time salaried management position for the right candidate. Our normal working days are Wednesday through Sunday, with additional hours required during our busy event season. Events are mainly held on Friday, Saturday, and Sunday evenings between May and November, so availability on those days is essential. Wednesday and Thursday will be administrative, planning, and prep days, with some remote work possible as determined by the event team management.
**Ideal Candidate & Qualifications**
- Previous experience in a client-facing role
- Experience in the hospitality, food and beverage, catering, or event industries
- Understanding of event timelines, logistics, and operations
- Highly organized with acute attention to detail
- Flexible and easy-going attitude, able to work well in a team structure
- Eager to learn and build a career within the event industry
- Self-starter and highly motivated, willing to work hard and advance within the company
- Sense of urgency and ability to work under pressure while remaining calm, especially with guests, clients, and staff
- Multitasker with an intuitive nature, able to ascertain and fulfill the needs of the event management team
- Good working knowledge of Google Drive, Gmail, Calendar, Docs, and Sheets (knowledge or experience with other event planning software is a plus)
- Outstanding verbal and written communication skills
**Responsibilities & Duties**
- Day-of event coordination and execution as needed
- Keep all event planning documents and website up-to-date and accurate
- Organize photos of past weddings for easy access by event managers
- Assist with booking site visits with potential and current clients and vendors as needed
- Create and send planning documents and folders for current clients
- Assist with organizing the calendar, keeping it accurate and up-to-date
- Assist with specialty events such as farm dinners and tastings
- Update email templates as needed to streamline communications
- Communicate with vendors and clients on event day as needed
- Order, organize, and maintain our inventory of decor on a weekly basis
- Perform any other duties as deemed appropriate by the event team management
**Available Shifts and Compensation**
Available shifts are all days except Mondays and Tuesdays. Compensation is $25.00 - $30.00/hour.
