Led by a visionary Principal Designer, the firm is committed to learning each client and creating a bespoke presentation for every detail. They are seeking an Designer & Executive Assistant to join their talented team and support the Principal Designer in both design tasks and administrative duties. Position Overview

As a Designer & Executive Assistant, you will be working directly with the Principal Designer to support all aspects of the design process, from concept to completion, while also assisting with the day-to-day administrative needs of the firm. This role provides a unique blend of creative design work and related supporting responsibilities, offering an excellent opportunity to grow within the interior design and construction design industry. You will be instrumental in maintaining the seamless flow of operations, ensuring that both design projects and the Principal Designer’s schedule are managed effectively.

Key Responsibilities

Design Support:

  • Assist the Principal Designer in creating design concepts, mood boards, color palettes, and layouts for residential and commercial projects.
  • Prepare design presentations, develop 3D using Google Sketchup to effectively communicate ideas and concepts to clients.
  • Conduct material and product research, sourcing furniture, fixtures, finishes, and accessories for projects.
  • Attend site visits with the Principal Designer to assess spaces, meet with clients, and oversee installations.
  • Assist in preparing design documentation, including CAD drawings, specifications, and design proposals.
  • Ensure design work is delivered on time, within scope, and aligned with client expectations.

Executive Assistant Duties:

  • Provide administrative support to the Principal Designer, including managing calendars, scheduling meetings, and handling travel arrangements.
  • Handle client communications, including phone calls, emails, and appointment scheduling.
  • Assist with the organization and prioritization of the Principal Designer's day-to-day tasks to maintain an efficient workflow.
  • Prepare documents, presentations, and reports for client meetings and internal reviews.
  • Manage office logistics, including coordinating deliveries, errands, and supply management.
  • Maintain a professional, organized workspace to ensure smooth operations.
  • Client and Vendor Interaction:
  • Communicate with vendors, contractors, and suppliers to ensure timely product deliveries and project milestones are met.
  • Assist with maintaining positive client relationships by providing excellent customer service and follow-up.
  • Attend client meetings, take notes, and assist in conveying design ideas and project updates when needed.

Qualifications

Education

  • A degree or certification in Interior Design, Architecture, or a related field is preferred, but not required.

Experience

  • 1-2 years of relevant experience in interior design or related fields (internships or assistant roles are also valued).
  • Strong proficiency in design software such as AutoCAD, SketchUp, Adobe Creative Suite (Photoshop, Illustrator), or similar programs.
  • Solid understanding of design principles, materials, and current design trends.
  • Exceptional organizational skills and the ability to manage multiple priorities efficiently.
  • A self-starter with a proactive attitude and willingness to learn and contribute to various aspects of the firm’s operations.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive information with discretion and professionalism.
