POSITION SUMMARY: The Electronic Health Records Assistant will be responsible for scanning physical documents, indexing data, storing files, retrieving information upon request, and ensuring the accuracy and accessibility of electronic records, all while adhering to established data management. This position will participate in a variety of projects including physical records management, physical-to-digital conversion, and digital records processing, storage, and retrieval.
JOB DESCRIPTION: - Sort and manage clinical inboxes.
- Review and respond to inquiry reports.
- Responsible for sorting referrals or special progress notes.
- Responsible for transitioning physical EHR records to digital copies in Athena.
- Scan physical documents into the electronic records system, ensuring high quality image capture and proper file naming conventions.
- View and understand the documentation entered in HER software.
- Accurately input metadata (like document type, date, subject, keywords) to facilitate efficient retrieval of electronic records.
- Organize and store electronic files within the designated system, following established filing structures and retention policies.
- Locate and retrieve requested electronic documents from the system promptly, providing access to authorized users.
- Verify the accuracy and completeness of electronic records, identifying and correcting any discrepancies.
- Accurately label incoming documents.
- Close items that do not require provider attention.
- Manage time effectively, while working quickly and accurately to keep workflows and provider operation on track.
- Comply with HIPAA policies and procedures to maintain secure patient confidentiality.
- Perform other clerical duties as assigned or needed.
REQUIREMENTS: - 1+ years of experience with clerical duties & data entry.
- Strong computer skills, including proficiency with document management systems, scanning software, and Microsoft Office Suite.
- Ability to accurately input data and maintain meticulous file organization.
- High level of accuracy when entering and verifying data.
- Experience with EHR systems, Athena preferred.
- Ability to work well as part of a team
- Excellent written and verbal communication skills
- High School Diploma or Equivalent is preferred
PHYSICAL/MENTAL DEMANDS AND WORK ENVIRONMENT: - Requires sitting and standing associated with a normal office environment.
- Performs highly complex and varied tasks requiring independent knowledge and its application to a variety of situations, as well as exercising independent judgement.
- Requires the use of office equipment such as copiers, scanners, computers, telephones, and fax machines.
- May view computer screens for long periods of time.
- Must be able to prioritize activities when faced with competing demands.
Hourly Pay Range - $18.00 - $23.00 / Hour DOE
