The Role:

We are seeking a highly organized and proactive Office Coordinator to support our dynamic team in our US office, reporting to our Office Manager based in our London Office. The ideal candidate will play a key role in ensuring smooth day-to-day operations by providing administrative and operational support, whilst driving recruitment efforts to attract and retain top talent. Requirements

Office Management Duties:

• Look after visitors by greeting, welcoming, directing them appropriately, and notifying the relevant colleagues
• Admin tasks such as post handling, arranging couriers and ordering gifts/incentives, as well as ordering stock.
• Ensuring meeting rooms are adequately tidy and setting up meetings as required.
• Liaising with the Landlords and Facilities team to resolve issues in the office.
• Highlighting and resolving, if possible, any issues within the office or escalating to the Office Manager
• Assisting with projects; office moves, desk moves, health and safety reviews.
• Keeping employees updated with company-wide updates
• Responding to and keeping on top of the shared inbox
• Provide administrative support to the team, including scheduling meetings, managing calendars, and handling correspondence.
• Coordinate travel arrangements.
• Carry out health and safety checks, record and report any incidents.
• Managing car parking for employees.
• Managing vendors and suppliers for the office, maintain office supplies and ensure the office environment remains organized and efficient.
• Order team lunches as and when required.
• Act as the main point of contact for internal and external stakeholders.

Recruitment and HR Duties:

• Reviewing CVs for open vacancies, booking in screening calls with candidates and scheduling interviews with candidates and hiring managers.
• Support the onboarding process by preparing documentation, coordinating IT setup, and assisting with new hire inductions.
• Assist in offboarding employees, ensuring all exit procedures are completed smoothly.
• Coordinating with HR to ensure all employee records are up to date.
• Help coordinate employee engagement initiatives and events.

Essential:

• Proven experience as a coordinator or assistant in an office environment.
• Proven experience in Recruitment, reviewing CVs and carrying out screening calls.
• Strong organizational, time management, and multitasking skills.
• Excellent written and verbal communication, with a professional and positive approach in person, over the phone, and in writing.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to handle confidential information with discretion.
• A proactive, problem-solving mindset with a can-do attitude.
• Ability to work both independently and collaboratively within a team.
• Friendly and approachable demeanor, as you will represent YouLend and be the first point of contact for external visitors.
• Ability to prioritize workload effectively, work under pressure, and adapt to changing requirements and priorities.

Desirable:

• Interest in professional development and continuous learning.
• Experience supporting senior leadership or executive teams.
• Fire warden and first aid trained.

Salary: $40,000
