Job Description
LOCATION: Onsite, Fairfax HQ, full-time
SUMMARY: Assists with the daily production and advertising operations resulting in monthly issues (print and/or digital) of the American Rifleman, American Hunter, America's 1st Freedom, Shooting Illustrated, NRA Family and Shooting Sports USA magazines accurately and punctually according to established quality standards and policies.
ESSENTIAL RESPONSIBILITIES
1. Assists with maintaining all required elements for advertising material. Includes constant customer contact, maintaining accurate records, generating internal reports, and assisting the Sr. Production Operations Coordinator in the assembly of each title, and each issue as it relates to advertising content, layout and deadlines.
2. Inspects advertising material for accuracy, along with the corresponding insertion order, and ensures material is the correct size and quality required per printer's requirements.
3. Assists with confirming advertisements for placement in FPO and Blueline books and shipment to printers.
4. Reviews advertising content for each magazine, each issue with advertising sales representatives, Sr. Production Operations Coordinator, and departmental staff daily from ad close to ad kill.
5. Assists with daily communications with Departmental staff and advertising sales representatives on advertising contained in each magazine, each issue (for example, copy approval preparation, complete and accurate rundowns, regional/remnant advertisements, supplied inserts, etc.).
6. Assists with the processing of all digital files for advertisements by the Production staff, and transfers finished files to design staff for inclusion in the magazines.
7. Ensures all digital files arrive at the various printers in good order to meet press schedules.
8. In coordination with other Publications staff, inspects and approves final Bookplans, FPO books, Blueline books, Digital Edition files, supplied inserts, special projects, bluelines, and supplied Matchprint proofs per industry standards.
9. Interfaces with advertisers or their agencies (except for Accounts Receivable) concerning the acceptability of products, graphics, and advertising copy to meet NRA advertising deadlines.
10. Communicate with advertising sales representatives on policy matters and operating procedures for related advertising functions.
11. Assists the Sr. Production Operations Coordinator with Final Forms, Ad Percentages, and Transmittals for all magazine properties.
12. Assists the Sr. Production Operations Coordinator with creating monthly Bookplans (magazine layouts) for each magazine, as necessary.
13. Assists with the development of yearly production schedules for all magazines.
14. Continually upgrades personal knowledge of the latest state-of-the-art technology and incorporates this technology into the production and manufacturing process where appropriate and feasible.
15. Research information for special projects as assigned by the Sr. Production Operations Director.
16. Backs up the Sr. Production Operations Coordinator as required.
17. Recommends departmental policies, systems, procedures, and objectives to the Sr. Production Operations Director. Assists with the direction of departmental resources to maximize workflow and productivity and establishes priorities.
18. Assists the Sr. Production Operations Coordinator with developing a well-trained and highly motivated staff capable of achieving Department, Division, and Association goals.
19. Travels as assigned; extended hours required.
20. Other duties as assigned.
SCOPE: Coordinates with Production & Advertising Operations staff, other Publications staff, other NRA divisions, advertising sales representatives, advertisers, agencies, printers, and other suppliers. Occasional contact with NRA members and the general public.
EDUCATION AND EXPERIENCE: Associate degree or relevant work experience in publications production. One to three years of experience in advertising and/or print production is required. Knowledge of SendMyAd and Virtual Publisher a plus.
KNOWLEDGE, SKILLS, ABILITIES: Excellent organizational skills and flexibility are mandatory. Attention to detail and accuracy are mandatory. Conversant with all phases of publication production and advertising services functions. Ability to communicate effectively. Good interpersonal and problem-solving skills are required. Well-versed in advertising and printing terms and functions. Ability to work independently and under pressure to meet strict deadlines. Working knowledge of MacIntosh and PC platforms. Software experience required with InDesign, MS Office Suite, Acrobat, Photoshop, Connect Font Management, Illustrator, Microsoft Teams and other software packages used by the Department. Expertise in Macintosh OSX operating system and network environment, ad portals, page layout, PDF workflow, font management, and proofing processes. Hands-on experience with various types of office equipment is required.
