Job Description SUMMARY OF JOB RESPONSIBILITIES: Under the direction of the director, the Receptionist I is responsible to greet and direct patients and families, respond to verbal and telephone inquiries, schedule patient appointments, charge entry and perform clerical work according to Mercy Health mission and values. The Receptionist ensures the confidentiality of all patients and medical information. QUALIFICATIONS: EDUCATION : High School graduate or GED Current CPR certification at basic level. EXPERIENCE: Medical terminology course required. Computer experience/skills required. Previous experience in healthcare field preferred. KNOWLEDGE AND SKILLS: Knowledge and skill required to perform the job responsibilities for both technical and dimensional content. Follows general instructions. Understands several defined work routines. Reads various references, extracts information, and applies basic arithmetic functions. Able to operate basic office equipment. PRINCIPAL JOB ACCOUNTABILITIES: Communicates and interacts with others (patients, clinical staff, visitors, community, etc.) in a professional, confidential, and courteous manner, that enhances efficiency and provides uninterrupted office coverage throughout the workday. Answers all incoming calls within 3 rings. Answers the telephone calls courteously by identifying self, title, and Cancer Center. Screens and directs call to appropriate staff or physician. Accurately records messages and reports to appropriate staff or physician in a timely manner. Pulls the records of patients who have called or assistance or help during the day and makes these available to the physician and nurse. Responds to callers' inquiry in a timely manner. Calls patients with special needs to confirm appointments prior to date of appointment. Assures use of telephone system for office business only (i.e. no personal phone calls). Greet and provide friendly assistance to all patients, families, and customers at the Cancer Center. Obtains patient consents for treatment and request of records. Copies patient's most current insurance information at least monthly. l. Maintains a positive, consistent attitude and style of communication at all times. Gathers accurate and timely information on patients in order to accept referrals and schedule new and established appointments. Utilize fax referral forms to document new patient information. Obtains patient information including but not limited to demographics, insurance, and diagnosis, and submits to admitting/registration for all new patients. Submits changes in demographic and insurance information on established patients to admitting/registration. 3.Utilize computerized systems to schedule patient visits and appointments, enter facility charges and access data. Schedules patients appropriately in Lantis. Accurately enters facility charges in appropriate computer system daily. Maintains physician's schedule (office hours, conferences, meetings, lectures travel and administrative activities, etc.) d. Maintains a detailed and complete activity calendar on a daily, weekly, and monthly basis regarding all Cancer Center activities. Initiates the third-party pre-certification process for all oncology treatments (i.e. - radiation therapy procedures, chemotherapy, etc) Calls patients insurance prior to scheduling tests. Provides demographic information and medical necessity to obtain authorization for treatments. c. Documents authorization in the patient's medical record and in appropriate computer system. Utilizes computer, fax system, printers, telephone system, tube system, and hospital internal/external mail system. Receives, opens, sorts and distributes all correspondence daily. Coordinates clinical data collection via fax, printers, mail and tube system, and distributes to appropriate staff. Keeps all areas clean, organized, and safe. Keeps front desk work area neat and clean. Verifies that supplies, stock, linens are neatly put away. Helps department to ensure all equipment, supplies, and materials are in designated place. Initiates and follows up on maintenance work orders. Participates in department processes. Supports quality improvement initiatives in the department. Assists with monitoring internal and external indicators. Participates in department staff meeting and other department meetings as requested. Other Observes universal precautions. Fills in with other clerical duties as assigned c. Performs additional duties as assigned .
